How long do I have to claim?
Send your receipt as soon as you can. Every claim shows its last date on the claim itself.
After the last date, that receipt cannot be claimed. You will still see it for one more month, marked Too late to claim, then it disappears.
Do not wait until the last day. Your approver also has to approve it before that date. Send it early.
When will I be paid?
Send your claim before the 22nd and it goes into that month's payment. Send it on the 23rd and it waits for the next month.
Being late does not cancel your claim - it only means you wait longer for the money. But that is only true before the last date. After that it cannot be claimed at all. See the picture above.
What do the words on my claim mean?
- Draft · send by 22 Oct
- Saved, but not sent. Nobody can see it yet. You must press Submit claims. The date is your last chance to send it.
- Sent, waiting for approval
- Sent, and nobody has looked at it yet.
- With approver 1 of 3
- It is with the first of three people who must say yes. When they do, it becomes 2 of 3.
- With Finance
- Everyone has said yes. Finance is doing the last check before paying it.
- Approved
- Finished. It will be paid in the next payment run. Watch your bank account.
- Sent back · send by 22 Oct
- Sent back to you to fix. The reason is written on the claim. Fix it and send it again.
- Rejected
- Refused. The reason is written on the claim. This one cannot be sent again.
- Too late to claim
- Past its last date. It can no longer be sent or approved.
My claim was returned. What do I do?
Read the reason on the claim. Press Edit, fix it, save, then press Submit claims again.
It starts again from the first approver.
Do I still need the paper receipt?
Yes. Send your paper receipts to your first approver. The app does not replace them.
Write the reference number on each receipt — top right or bottom right corner. Your approver is matching a pile of paper against a list on a screen, and the number is what lets them do it in one look instead of turning every receipt over twice. Claims that are easy to check tend to get approved rather sooner than the ones that are not.
Why can I not choose an old date?
Because that receipt has passed its last date. The app will tell you the date it closed.
